Who decides
Who makes the decisions for our association?
Your board. Always. HOAPrepared prepares documents and puts them in front of you. Nothing goes out until your board approves it. We don't vote, we don't decide, and we don't sign anything on your behalf.
What exactly do you do instead of us?
We prepare the paperwork: notices, agendas, minutes, the compliance calendar and the mailings. It arrives prepared for your review. Your board stays in control. We prepare everything else. What each plan covers, line by line, is on the pricing page.
Who reviews the documents
Is a person actually looking at this?
Your board is, before anything goes anywhere. Our software prepares the work, and every document is put in front of your board first. Nothing is sent, filed or mailed on our own initiative.
Are you a law firm?
No. HOAPrepared is an administrative service for self-managed homeowners associations in Florida. We prepare and document the paperwork your board decides on.
Your owners' data
Who can see our owners' information?
Nothing about your owners is on this website. This site only takes what you type into its two forms: your email address, and what you choose to tell us about your association. There is no account to create, no owner list to upload, and nothing is kept in your browser. The forms also carry a hidden anti-spam check, and that's all.
When the board changes
What happens when our officers change?
The association's history stays with the association. Each board member has their own access, so a change of officers doesn't cost you your records. The next secretary starts with everything the last one had.
Does the next board have to start over?
No. The calendar, the records and the past mailings stay where they are. Every action documented — including the ones from three boards ago.
Cancelling and taking your records with you
If we leave, do we lose our documents?
No. Within 10 business days of your departure, you get a full export of your association's documents and records, at no charge. They belong to your association, not to us.
How long are we committed for?
HOAPrepared is an annual agreement, billed month by month, and it renews each year. You can cancel at the end of your current term with 30 days' notice. All the terms are on the pricing page.
